Sailing Club Software Limited understands that your privacy
is important to you and that you care about how your information is used and
shared online. We respect and value the privacy of everyone who uses our
services.
DutyMan is a service of Sailing Club Software Ltd and we
have created this privacy statement covering the DutyMan service in order to
demonstrate our commitment to your privacy.
In developing this statement we have considered carefully
the new EU GDPR (General Data Protection Regulations). We have ensured that
DutyMan provides the features required for compliance as a Data Processor, and
also the features required by clubs and organisations who use DutyMan in their
roles as Data Controllers.
Information Held
All the information about you is provided either by the club
or organisation to which you belong and which has elected to use to DutyMan, or
by yourself when you edit your information. We do not of our own volition collect
any personal data about you.
All personal data is stored securely in accordance with the
principles of current data protection legislation.
The
following information is held for each individual who has a member record in
DutyMan:
- Member name
- DutyMan password
- Club or organisation name
and optionally at the discretion of
your club or organisation:
- Email
addresses
- Phone numbers
- Postal address
- Information
relating to your duties
- Such additional information as your club or organisation chooses to record
Use of Your Personal Information
We use the information provided to us to deliver the service
requested by your club or organisation.
This
includes:
- Display your duty roster on the web
- Send duty reminders by email
- Facilitate duty swaps via email
- Let people view and update their own information on the web
and, when these options have been
chosen by the club or organisation to which you belong, to
- Display members' contact details in the duty roster
- Display a directory of members' contact details and optional information
- Collect information to assist with duty allocation
- Send you emails created by your club or organisation
We keep your data only for as long as we need to in order to
provide the service requested by your club or organisation, and only for as
long as we have your club's or organisation’s permission to keep it.
Access to Your Personal Information
You may view all the information provided to us about you at
any time by logging in to your DutyMan member account. The log in reminder
process is automatic so there should be no need to contact your club or
organisation in order to view the information they hold about you in DutyMan.
Correction of Your Personal Information
Should there be errors in the personal information provided
to us about you, then either you yourself or your club or organisation may
correct it online without needing to make any request to us. You may contact
the person who manages your DutyMan service at your club or organisation at any
time via your DutyMan pages. (Subject to the contact details provided to us
being correct).
Removal of Your Personal Information - Your Right to be
Forgotten
Should you wish to remove any of the personal information
provided to us, then you may delete some items yourself and your club or
organisation may delete your entire record, online and without needing to make
any request to us. You may contact the person who manages your DutyMan service
at your club or organisation at any time via your DutyMan pages. (Subject to
the contact details provided to us being correct). Once deleted in DutyMan we
shall ensure that all copies in service backups are also deleted within 6
weeks.
Disclosure of Your Personal Information
We will not sell or disclose your personal information to
any third parties except successors in title to our business and if required by
government bodies and law enforcement agencies.
Security of Your Personal Information
We are committed to ensuring that your information is
secure. In order to prevent unauthorised access or disclosure, we have put in
place suitable physical, electronic and managerial procedures to safeguard and
secure the information we collect online.

Privacy Options
DutyMan provides a wide range of detailed options whereby
either you yourself or your club or organisation may adjust the level of
privacy to suit your joint requirements. These options are fully described in
the documentation which is available within DutyMan, including during free
trials.
Revisions
We reserve the right to change our privacy statement at any
time. If we make changes we will indicate the new effective date at the top of
this page. We encourage you to refer to this page on an ongoing basis so that
you understand our current privacy statement.
