Settings for Duty Swapping and Volunteering

Walkthrough:

  • In the Set Up menu click Duty Swapping.

  • Refer to the table below for a description of each setting.

  • After making changes click Save Changes.

  • Cancel undoes any changes made since the last save.

Settings

Setting Description
Club Notify One or more club-level email addresses, separated by semi-colons, to receive notification when duty swaps are accepted and people volunteer to take on duties. These email addresses are in addition to any specified at duty level.
Enable Duty Swapping If ticked, duty swaps can be requested and people can volunteer to take on duties. This is the master control for duty swapping and is in addition to the temporary suspension of duty swapping that can be activated when duties are downloaded for amendment. The default setting is not enabled.
Enforce Strict Duty Type Swapping Only like-for-like duties can be swapped. The default setting is not enforced.

Freeform Duty Types: people can request swaps only with duties of the same duty type as the one that they want to swap.

Listed Duty Types: people can request swaps only with duties in the same duty group as the one that they want to swap.
Enable Multi-Select Button If ticked, the Multi-Select button is available when requesting duty swaps. The Multi-Select button lets people select, with one click, up to 20 duties as targets for swap requests. Some clubs find that people do not check the duties that they have multi-selected to ensure that they are approriate. This can result in them swapping into a further duty that they cannot do. Suppressing the Multi-Select button makes this less likely. The default setting is enabled.
Enable Can't Do Button If ticked, the Can't Do button is enabled on the roster page and people can de-allocate themselves from duties. The duty is set to unallocated and swap wanted. Notification emails are sent to the club and duty notify addresses. The default setting is not enabled.
Allow Volunteering On Duty Day If ticked, people can volunteer for a duty on the day of that duty. Thy can also indicate that they are looking for someone to stand in for them by ticking Swap Wanted or clicking Can't Do (when enabled). They cannot explicitly request a duty swap on the day of the duty. Note that this means that a person could volunteer for a duty that has already taken place, for example volunteer in the evening for a duty the previous morning.The default setting is not allowed.
